Provider and agreement

Trakkit is provided by De Bonte Koning. Contact support@trakkit.eu for service and billing questions; contact privacy@trakkit.eu for privacy questions. You must be authorised to use the service for your organisation. These terms govern the workspace and the plan explicitly selected; the data processing terms apply to workspace data. An onboarding enquiry is a contact request and does not create an account or subscription.

Plans and included use

Start costs €49 per workspace per month excluding VAT: 25 suppliers, 3 internal app users and 100 monthly Traks. Growth costs €129: 200 suppliers, 10 app users and 500 monthly Traks. Forms, departments, hierarchy, history, Excel/CSV import, PDF/Excel/CSV results export, invitations and up to two scheduled reminders per review assignment are included. Reviewers using personal invitation links do not need a paid seat. Larger workspaces require a separate quote.

Each unique supplier active during a billing period counts once across departments and review rounds. Independently reviewed sites count separately; structural groups without their own review do not. Archiving retains history and frees capacity in the next period. Close open rounds first. Exceeding a limit requires an explicit upgrade and does not automatically create a charge.

Free trial and optional help

The self-service trial lasts 14 days with 5 suppliers, 3 internal app users and 20 Traks. No payment card or automatic paid renewal is required. Optional setup help costs €149 excluding VAT for up to two remote hours, with the scope agreed in advance. Standard email support is included; ongoing data entry, integrations and bespoke development are not included in the monthly price.

Payment, changes and cancellation

Paid plans are billed monthly in advance and renew monthly until cancelled. Cancellation stops the next renewal; access continues until the current paid period ends. Upgrades require confirmation of the prorated price difference and one-time prorated Traks addition. A downgrade takes effect next period and requires supplier and app-user counts to fit the lower plan; we do not silently archive records. There is no annual commitment or automatic top-up in this version. Payment processing is through Mollie.

Optional AI

A Trak is Trakkit’s unit of currency for AI. One successful form generation, form adjustment or review summary costs 1 Trak. A failed request or technical retry costs no additional Trak; deliberately regenerating a result uses 1 Trak. Viewing or exporting existing results is free. AI output needs human review and does not determine supplier decisions for you.

Optional packs cost €9 for 100 Traks or €29 for 500 Traks, excluding VAT, and require a paid plan. Monthly Traks are consumed first and do not roll over. Purchased extras do not expire, remain during a pause and do not activate a workspace. Without Traks, ordinary review functions continue within an active plan. Input limits are 8,000 instruction characters plus 80,000 form characters, or 120,000 characters for a summary. Imports are not automatically sent to AI.

Access after expiry and data

Invitation links close at the end of the paid or trial period. Finish reviews before that date. Read and export access continues for 30 days; creating rounds, sending invitations and using AI are then closed. This is an access window, not an automatic deletion timer. Data remains for reactivation or a verified deletion request. Contact us for deletion or an export question after the access window. Billing records can have separate statutory retention duties. The privacy notice and processing terms describe these responsibilities.

Acceptable use and confidentiality

Use Trakkit for lawful business supplier reviews and invite only relevant reviewers. No unsolicited bulk mail, address trading, abusive campaigns, unauthorised access or attempts to bypass usage limits. Protect private invitation links, manage staff access and minimise personal information in comments. You retain rights to your content and permit us to process it to provide the service. We treat customer content as confidential, subject to authorised operation, support and legal obligations. We may restrict affected functionality for suspected abuse or security threats and contact the customer.

Service limits and changes

Import files are limited to 10 MB and 10,000 rows, without macros or formulas. Results exports cover up to 500 rounds per Excel/CSV selection or 25 suppliers per PDF. These limits do not add a per-export fee. Start and Growth include no custom uptime, recovery or integration SLA. We operate and maintain the service with reasonable care, but interruptions can occur; keep appropriate exports for your business needs. Website examples are illustrative, not customer results, and items labelled in development are not included live functionality.

Material changes to these terms or subscription pricing will be notified before they apply to a future renewal, allowing you to cancel. They do not retrospectively change an already paid period. Mandatory legal rights remain unaffected. Dutch law applies. Please contact us first to resolve a dispute; competent courts under applicable law remain available.
